When to act
When reminders are no longer enough
The older a debt becomes, the harder it may be to recover. A structured collection approach is often useful when reminders fail, payment promises are broken or the debtor stops responding.
Overdue invoice
One or more invoices remain unpaid despite reminders and routine discussions.
Broken payment promise
The debtor has promised to pay but has not honoured the commitment.
No response from the debtor
Calls, emails and letters go unanswered and a more formal approach is needed.
Our method
Structured case handling
Debt collection means more than sending repeated reminders. The aim is to understand the obstacle, obtain a response, secure a payment commitment and give you a clear view of the next steps.
Assessment
Reviewing the case, available evidence, age, amount and business context.
Contact
Using appropriate channels: email, telephone, letter or formal demand, depending on the case stage.
Negotiation
Seeking payment, an agreement or a credible repayment plan where appropriate.
Next steps
If payment remains blocked, reviewing the next step: the Belgian IOS procedure, dispute handling, proceedings or another suitable solution.
Communication
Personalised reminders across relevant channels
The contact strategy depends on the debtor, the value of the business relationship, the amount involved and the responses received. IBCC combines relevant channels without applying one scenario to every case.
Emails and letters
Structured, traceable communications suited to the stage of the case.
Telephone calls
Direct discussions to understand the obstacle, obtain a clear position and negotiate where useful.
Repayment plans
Monitoring agreed commitments and instalments, with creditor approval where required.
Before proceedings
Assessing whether escalation makes sense
Before starting proceedings, the debtor’s solvency, claim amount, evidence, costs, likely duration and realistic recovery prospects must be assessed.
Solvency
Assessing whether the debtor appears to have assets or income that could support effective recovery.
Evidence
Checking invoices, orders, contracts, terms, correspondence and other relevant documents.
Costs and value
Weighing the costs and duration of proceedings against the amount and recovery prospects.
International
Recovering a claim against a debtor abroad
The debtor’s country can affect the steps, timescales, practices and remedies. Depending on the case and jurisdiction, IBCC can coordinate appropriately qualified local professionals.
A recurring need?
Include debt collection in an IBCC subscription
For recurring late payments or several cases, IBCC subscriptions can bring prevention, monitoring, reminders, collection and certain procedures into an ongoing arrangement.
Unpaid business invoices: assess your claim and take action
IBCC reviews the documents, the commercial relationship and the steps already taken to provide a personalised approach. Gather invoices, contracts, accepted terms and correspondence with the debtor.
Recovering unpaid business invoices
Check the due date and any dispute, then gather supporting documents and previous reminders. IBCC assesses the claim and organises an appropriate amicable approach. Where further action is needed, the costs and options are reviewed and qualified professionals are involved as appropriate.
Late payment interest and compensation
For B2B transactions governed by Belgian law, the applicable contractual rate or otherwise the statutory commercial late payment rate must be checked. Where the legal conditions for late payment interest are met, the Act of 2 August 2002 provides for a €40 fixed compensation amount. Additional recovery costs may qualify for reasonable compensation.
Your costs and amounts recoverable from the debtor
IBCC’s fees depend on the agreed mandate and services. They are not automatically recoverable in full from the debtor. Request a cost breakdown before committing. Your net proceeds depend on the amounts actually collected and the terms accepted.

What if a repayment plan is not honoured?
Check the instalment date and payments received, then send the agreement and correspondence. IBCC reviews the next step; a missed instalment does not automatically lead to proceedings or attachment.
